Technical Coordinator/Production Onsite Manager

The TC is responsible for executing the technical and site infrastructure necessary to deliver the DroneArt event(s). This includes managing production vendors, overseeing on-site logistics for infrastructure, coordinating technical needs (like power, staging, audio and fencing), and ensuring safe and timely load-in/load-out of all physical elements. The TC operates under the guidance of the Lead Producer and focuses on translating the operational plan into on-the-ground reality.

Primary Responsibilities (from RACI)

1. Venue & Site Infrastructure

Conduct site visits to assess technical feasibility of the event location.

Finalize venue access, drone launch zones, barricade layout, and vendor access points in collaboration with Ops and Security teams.

Manage fencing layouts and vendor placements to align with safety and programming requirements.

2. Power & Technical Coordination

Coordinate with power vendors to confirm power drop plans and generator placements.

Oversee power vendor execution onsite, ensuring full distribution and contingency support.

3. Vendor Management

Confirm vendor schedule windows and ensure they are aligned with master load-in/out.

Onsite infrastructure (barricades, cable ramps, tables/chairs if related to tech needs)

4. Load-In / Load-Out Oversight

Develop and distribute a production-specific load-in schedule for vendors and technical teams.

Manage onsite load-in logistics, including vehicle access, parking, and staging areas for production gear.

Ensure clear egress and emergency pathways are preserved during production setup.

5. Permitting Support (as Executor, not Owner)

Facilitate the submission of payments to the appropriate city agencies and, when applicable, take steps to expedite permit processing.

Attend walkthroughs with city officials to address infrastructure/safety concerns specific to production setup.

Implement adjustments based on inspector feedback related to site build or technical access.

6. Onsite Production Management

Supervise vendor installs to ensure adherence to plan, timelines, and safety.

Troubleshoot onsite technical issues (e.g., blown circuits, delivery delays, unsafe setup).

Coordinate staging and seating zones in alignment with capacity plan and safety needs.

What This Role Does Not Own

Programming planning or artist coordination

Community relations or public/civic partnerships

Strategic oversight or creative visioning

Ticketing system setup or customer experience design

Vendor contracting or budgeting (unless delegated)

Reporting Structure

Reports To: Lead Producer

Manages: Onsite production support staff

Works Closely With:Venue (for site access and parking)

Security (for perimeter and emergency planning)

Vendor(s)(staging, audio, infrastructure)

City Officials (permitting)

Preferred skills and attributes are:

  • 2+ years event management experience (preferred)
  • Keen interest and passion in live music and delivering events (preferred)
  • Sound engineering skills (desirable)
  • Public speaking (desirable)
  • Exceptional customer service (required)
  • Highly competent in team/people management (required)
